Rental Policies

RENTAL PAYMENT: All rental charges must be paid in advance of or on the day you pick up your RV, or have it delivered. Personal and company checks are not accepted unless received at least 14 days in advance of your departure date.
REFUNDABLE SECURITY DEPOSIT: The Refundable Security Deposit is charged to your credit card 2 days prior to your departure date.  The security deposit will be refunded back to you on the 7th day AFTER you have returned.  The security deposit can be held if there are any charges such as but not limited to extra mileage (if applicable), additional generator usage (if applicable), fuel and/or propane refill charges, additional use time, cleaning, dumping or other damages.  If no charges are deemed necessary, your security deposit will be returned in full.  Please note that it could take 5-7 business days from the date of the refund for it to appear on your account.
CANCELLATION POLICY: From the date of your reservation to 30 days prior to your pick-up date we will refund your reservation deposit less a $49 fee. If you cancel within 30 days of the scheduled pick-up date, do not show up, or are unable to complete the transaction at the pick-up or delivery, NO REFUND will be given.  Additionally, if the cancellation occurs within 7 days of the scheduled departure, you will be charged for the full rental less any delivery, handling or insurance fees.

EARLY RETURNS – NO REFUNDS will be given for early returns or for loss of use/time due to inclement weather during your rental period.  The purchase of travel insurance for your vacation/rental period is recommended if this is anticipated.

IDENTIFICATION: Proper identification and a valid driver’s license with photo must be presented when reserving a vehicle. The person named on the reservation application must be at least 25 years of age and is the only person authorized to sign the rental agreement and drive the vehicle off our property.
ADDITIONAL DRIVERS: All additional drivers must be at least 25 years of age and present at the time of departure with a valid driver’s license with a photo.
RENTAL PERIOD: Each overnight period counts as one night. Pick-up or departure time is between 1:00 and 4:00 p.m. and the vehicle must be returned between 9:00 and 11:00 a.m. on the return date. Unless previous arrangements have been made, you will be charged $25 for every hour the vehicle is returned late. Late charges begin at 11:01 a.m. on the return date. Other people may be waiting for the vehicle. Please contact our office if you are delayed.
MILEAGE: Rental rates for motor homes include 250 free miles per night. For motor homes the extra mileage charge over 100 miles/night is $.39 per mile for up to 200 miles/night, $.89 per mile for up to 300 miles/night and $1.49 cents per mile for over 300 miles/night. Mileage rates apply to gas motorhomes not diesels.
FUEL & PROPANE: The gas and propane tanks will be full when you depart and must be returned full. If not, you will be charged $25 plus the cost of the fuel/propane.
CLEANING: In order to make your vacation more hassle free, we offer a pre-paid cleaning and dumping option for $125. This includes cleaning the vehicle inside and outside (for a normal usage) and dumping all the holding tanks. If you do not purchased the pre-paid cleaning option, and the vehicle is returned substantially less clean than when rented, or if the cleaning option is purchased and an unusual amount of cleaning is needed a reasonable fee to clean the Vehicle will be charged (not to exceed $400).
DUMPING: Unless you have purchased the $125 pre-paid cleaning and dumping option, a dumping fee of $45 will be charged if the Vehicle’s waste or holding tanks have not been drained (valves open, caps off) by you prior to return of the Vehicle.
GENERATOR USAGE: Most motorized vehicles are equipped with onboard 120 volt AC generators. Unlimited generator usage applies for all Diesels in most cases (owners make final decisions). Rental Rates apply to all other motorhomes. They include 5 hours per night of generator use. Additional use is $4.00 per hour, or you can purchase unlimited use for $40 per night.

    • Note: Generators will not operate when the fuel level is near or below ¼ tank.
    • Portable generators are also available for vehicles without an onboard generator for a fee. This is subject to availability and prices may vary based on RV and size of generator needed.
AWNING USAGE: Awning use is included with all rentals; however, they are often damaged by wind and/or mishandling and are expensive to repair. We highly recommend you take time to learn how to open and close the awning properly and be sure to store it when the wind picks up. We also require renters to close the awning if away from RV or when going to sleep.
TOWING: Towing is allowed with selected units for an additional charge of $79 per rental. The weight of the item being towed must be within the legal limits of the vehicle. We reserve the right to restrict towing privileges.
TRAVEL TRAILERS, TOY HAULERS & ENCLOSED TRAILERS: You are responsible for having the proper vehicle and equipment to tow the rented vehicle. This will consist of a tow vehicle with sufficient tow rating for the rented vehicle, class III hitch, 7-way electrical plug, and an electronic brake controller. FIFTH WHEELS:  Fifth wheels require a fifth wheel hitch installed in your vehicle, no gooseneck.
ROADSIDE ASSISTANCE: All our RVs, motorhomes and travel trailer rentals include 24-hour emergency roadside assistance throughout the United States and Canada. Please ask us directly for the roadside assistance package options.

PETS: Pets are allowed in our pet friendly vehicles with an additional refundable $100 security deposit. The vehicle must be returned in the same condition as you received it, free of pet hair and pet odor. If cleaning is required to remote pet hair and pet odor, you will be charged accordingly.

SMOKING: Smoking is strictly prohibited in all vehicles. If the vehicle is returned with a smoke odor a cleaning fee will be charged. Costs for cleaning and deodorizing will vary but could be up to $400.
ROOF ACCESS: Roof access is strictly prohibited.
RESTRICTED AREAS: Vehicles are restricted from operating in Death Valley and other desert areas during hot periods (May 1st to October 31st). The renter will be held liable for all damages to the vehicle, tires, towing charges, and all other related expenses as a result of a breakdown associated with operating in these areas. Vehicles are restricted to paved roads and highways. If the renter takes the vehicle “off road” and there is a breakdown of any kind, the renter is responsible for the extra towing and other fees. Do not take the vehicle to Mexico. The vehicle is not insured for travel in Mexico and traveler’s assistance is not available there.
ILLEGAL AND IMPROPER USE: You agree that the vehicle will not be used in violation of any law and further agree to hold Texas Best RV Rentals, Inc. harmless from all fines and penalties levied for violation of any traffic laws. In the event the vehicle is seized or impounded, you shall continue to be responsible for rental charges until the vehicle is returned, pursuant to the terms of this agreement. You agree to indemnity and hold Texas Best RV Rentals, Inc. harmless from any and all losses and expenses resulting from seizure or impounding. You also agree that the following are breaches of the rental agreement and you are then responsible for any loss due to your breach:

a) Intentional, willful, wanton or reckless conduct.

b) Operation of the vehicle while under the influence of drugs or alcohol.

c) Operation of the vehicle on an unpaved road if the damage or loss is a direct result of the road or driving conditions.

d) Used for commercial hire.

e) Used in connection with conduct that could properly be charged as a felony.

f) Involved in a speed test or contest.

g) Operated by a person other than an authorized driver.

h) Operated outside the lower 48 states or Canada.

i) If you provide false information to us and we would not have rented the vehicle to you if instead we had received true information.

MECHANICAL FAILURES: For motor home rentals, you are responsible for checking the engine oil, fluids, coolant level and tire pressure at each refueling, as well as reporting mechanical failures immediately. Renter is responsible for ensuring that the motor home is not loaded beyond its gross vehicle weight rating (which can lead to tire failure or other problems). In the event of a mechanical failure, the renter is required to first contact our 24 hour roadside service provider for advice and technical assistance by calling 1-800-416-4069. Texas Best RV Rentals, at its sole discretion, agrees to repair, to have repaired, or make every reasonable effort to replace the motor home. You acknowledge the possibility of mechanical failure and/or breakdown and further acknowledge that said mechanical failure and/or breakdown is an inherent risk associated with the operation of said motor home or travel trailer, that it is beyond the control of Texas Best RV Rentals and does not a result in an act of negligence and/or omission on the part of the Texas Best RV Rentals. You agree that in all cases of mechanical malfunction of the motor home, you will immediately notify our roadside assistance provider by telephone and will follow instructions regarding any and all repair work. We will only be responsible for any repairs up to $100 per rental if said repair charges have not been authorized by the company. You must provide a receipt for any such repairs to be reimbursed. Texas Best RV Rentals is not liable for your expenses due to unforeseen breakdowns beyond our control. You may be held responsible for mechanical damage due to negligence in RV operation or failure to provide normal maintenance. In the event the RV is in breakdown repair for 12 hours or more through no fault of yours, our responsibility to you is limited to a refund of daily rate or portion thereof. It is also agreed that radio, automatic step, air conditioning, refrigerator, microwave, TV, DVD, VCR, appliances, cruise control and generator malfunctions are not considered breakdowns and refunds are limited to $5 per item per day at our sole discretion for the repair time or the inability to use these items.
ACCIDENTS: If involved in an accident, you must notify Texas Best RV Rentals within 24 hours. For accidents involving more than $500 in damage, a full written police accident report must be submitted to Texas Best RV Rentals upon your return. Failure to comply will result in forfeiture of your security deposit.
RENTER’S PROPERTY: We shall at no time be responsible for the loss, destruction or damage of any personal property of yours or any of your passengers carried on the vehicle and you agree to indemnity and make us harmless from any claim with respect to such property.
REPLACEMENT VEHICLE: We reserve the right to replace the vehicle with another vehicle of similar size or larger if the reserved vehicle is not available. If no other vehicle is available, all fees will be refunded. We cannot be held liable for any other costs incurred by you.
TERMS AND RATES SUBJECT TO CHANGE WITHOUT NOTICE: Any additional terms will be disclosed when the rental agreement is signed. We reserve the right to refuse any applicant.
